Description |
The American Association of Museums seeks an experienced Executive Office Coordinator to manage and support all administrative activities and functions for the President and Executive Vice President's offices and act as a focal point of contact for the Executive Suites.
Other responsibilities include, answering the telephones, sorting and receiving mail, managing and prioritizing incoming email, preparing correspondence, greeting guests to the Executive Office, assisting with preparation for meetings, develop, draft, edit and compose documents, prepare schedule reports, taking minutes as necessary, operate record keeping and filing systems, handle scheduling for meetings including the President and VP's meeting itineraries, travel to AAM's annual meeting to manage & coordinate various meetings and related functions; coordinate and support activities between the Executive Office, AAM's Board of Directors and Standing Board Committees; and serve as the point of contact, liaison and conduit for information sharing and communication between and among the Executive Office, the AAM Board of Directors, Standing Board Committees, three AAM Councils, AAM staff, members, and external contacts.

Requirements |
Minimum qualification requirements include a college degree, 5 years experience working with CEOs, and or other senior managing level staff such as Boards of Directors in an association or similar non-profit organization. Prior supervisory and meeting planning experience is a plus. Excellent writing and editing skills and demonstrated experience in crafting letters, reports, and proposals, ability to travel at least twice annually, proficiency with MS Office Suite, with emphasis on word processing, spreadsheets, and working with databases (iMIS a plus) , exceptional project management and administrative skills as well as diplomacy, tact and confidentiality, flexibility in coordinating a variety of projects, strong communication and interpersonal skills and ability to relate to a variety of people in a complex environment.
